1. What if I forgot my user ID or password?

Go to the registration (login) screen and click on "Forgot User Name/Password." You will need to enter your email address, and you will receive a randomly generated temporary password by email, which you should then change.

If you are an employee, temporary employee or student and you registered using your Onyen, you can also go to the Onyen website and request password information.

2. How do I apply?

The first step in applying for Staff positions at the University of North Carolina at Chapel Hill is to view current Staff job openings through the online Staff (SPA) Job Postings. New job openings are posted daily. Once you have identified a position of interest, click on “Apply Now” to start the application process.

Clicking “Apply Now” will take you to ApplicantWeb, where the Applicant Profile will lead you through the process of completing the online Application for Staff Employment. Specific fields are required and will result in an error message if not completed. You have the option to add a resume and/or cover letter to accompany your application.

To receive confirmation that your application was successfully received, a valid email address must be provided in the Applicant Profile.

3. If English isn’t my primary language, is there someone who can assist me with this process? (Si mi lengua mayor es español habrá alguien que me ayudaría en este proceso?)

4. Is this system accessible to the visually impaired?

Yes, ApplicantWeb is in compliance with ADA standards for the visually impaired.

5. How can I obtain an accommodation for special assistance in completing the application process?

Contact the Compensation & Staffing Programs office at (919) 962-2991 between 8 a.m. and 5 p.m., Monday through Friday, to request special assistance.

6. How long is a position open to receive applications?

A position is open to receive applications for a minimum of 10 days. The hiring department determines the length of time that a position is open. Each position’s closing date is clearly shown on the job posting. Jobs cannot be viewed and applications cannot be submitted after 5 p.m. on the closing date.

7. What is the closing date?

In keeping with North Carolina G.S.126-14.3(3), the University of North Carolina at Chapel Hill uses a general recruitment closing date between 10 to 60 calendar days from the date first posted for permanent job openings subject to the State Personnel Act. The posting period, opening and closing date, is included on each job posted. Only applications received before 5 p.m. EST/EDT on the closing date may be considered for the position.

8. What are Skills Supplement Worksheets and for what areas are they available?

Skills Supplement Worksheets are addendums to the application that give you an additional opportunity to outline your specialized skills or knowledge that may be of interest to the hiring department. You may submit Skills Supplement Worksheets with your application for positions of interest. However, the skill sheets are not required for consideration. The available skill sheets are:

To access the Skills Supplement Worksheets from the links above, click a link. You will go to the login screen, where you will enter your username (or Onyen) and password. You will then go directly to the Skills Supplement Worksheet.

9. Can I submit a resume with my application?

You can include a resume. This resume can be either typed or pasted in the specific field in the online application and stored. When you apply for a position, you will have the option to include that resume or submit a new resume that is targeted for a specific position.

10. Can I submit my application on paper rather than using the online process?

No, only applications submitted online will be reviewed by the Office of Human Resources. Contact Compensation & Staffing Programs at (919) 843-2300 between 8 a.m. and 5 p.m., Monday through Friday, if you need assistance.

11. Can I submit my resume alone instead of completing the online application?

No. You must complete the online application to apply for a position. A resume alone is not acceptable.

12. Can I complete the online application without applying for a specific position?

Yes. You can enter your information at any time, whether or not you have a specific position in mind. Then you will be ready to submit your application when you see a position of interest. You will not be considered for a position until you actually submit the application, which you can do at the end of the applicant profile.

13. Can I submit an application without applying for a specific position?

As previously noted, you can create your online application without applying for a specific job. However, you must identify a specific position in order to submit your application. The position number, position name and department number of the position you are applying for are automatically added to each submitted application, and applications will not be submitted without this information. Applications without this information will not be forwarded to the Office of Human Resources.

14. Can I add new Work History information later?

Yes, you can add additional work history, including new positions, at any time. The system will automatically place your work history in chronological order by start dates, beginning with the most recent position.

15. What can I do if I inadvertently leave out any information?

You can complete an addendum from the “My Job Applications” screen at any time until the closing date. Addendums will not be accepted after the closing date for a position. Up to two addendums can be added to your application. The addendums will not automatically update your original online application. If you would like that information permanently added to your online application, you must edit your applicant profile.

16. Do I complete a new application for each position that I apply for?

No. Once you have completed your online application, it is stored electronically. As you select positions to apply for, you will have the option to update your online application before applying.

17. How long does my online applicant profile remain in the system?

Your online applicant profile remains in the system indefinitely.

18. How long will a position I’ve applied for remain on the My Job Applicant display?

Your application to a specific position remains in the system for six months after the position is filled or closed.

19. What happens after I submit my application?

Your application and qualifications will be considered for the open position you specified. When an applicant applies for a position and has met the State minimum training and experience for the position classification, their application will be submitted to the hiring supervisor for further review. The application is reviewed by the respective Employment, Classification & Compensation Specialist for the position’s department to ensure that the minimum training and experience required by the State has been met by the applicant’s education and work history.

20. Will I be contacted if my application is referred for openings?

Applicants are not contacted when the application is referred to the hiring department. The hiring department reviews submitted applications and determines which applicants will be offered an interview. They will contact those applicants directly.

21. If I have a criminal conviction on my record, can I still apply to the University?

Yes. A criminal conviction does not in and of itself prevent you from being employed by the University. The nature of some convictions, however, may cause certain positions to be unavailable to you. The University will conduct a criminal conviction check on all new employees (permanent, temporary, transfer and promotional) prior to that candidate’s first scheduled day of work. Failure to completely disclose information about a criminal conviction on an employment application or on an authorization form for a criminal conviction check is considered falsification of the employment application and will result in you not being eligible for employment at the University.

22. Do I need to take a spelling and typing test?

Some departments may require that applicants take spelling and typing tests for certain positions. You may take these tests at your local North Carolina Employment Security Commission office and ask that your scores be forwarded to us. If you are an out-of-state applicant, you may test at your state's Employment Security Commission office. Please call us at (919) 962-2991 if you have further questions about out-of-state testing.

23. Should I complete the Veteran's Worksheet?

If you have served in the U.S. Military, are the spouse of a veteran who died or was disabled from service-connected circumstances, or are a dependent of a veteran who died from service-connected circumstances, you are invited to complete and submit the Veteran's Worksheet.

24. Can I submit a State of North Carolina application?

No. The University uses its own Application for Staff Employment. The State of North Carolina application is not used by the University.

25. Which Internet browser software should I use for best results?

If you are using a Windows-based computer, this website can best be viewed with version 7.01 or above of Netscape, version 6.0 or above of Internet Explorer or version 1.6 or above of Mozilla.

If you are using a Macintosh, this website can best be viewed with Netscape 7.01 or above.

A 1024 x 768 (or higher) screen resolution with small fonts is recommended for this application. The user's browser also should have javascript enabled.

26. I can’t access ApplicantWeb from my computer. What should I do?

It's possible you may be experiencing a problem specific to your computer or Internet connection. You should try and access our system from a computer at another location (such as a public library, work, or a friend or family member's home) to eliminate the possibility of problems with your own computer or Internet access. We cannot assist you in troubleshooting individual computer problems. If you experience problems after attempting to access our system from more than one computer at different locations, please report the problem to the Compensation & Staffing Programs Department. A list of public access computers in the Chapel Hill, N.C., area is available here. Current UNC-Chapel Hill employees can also use on-campus computer labs for access.

27. If I’m a UNC-Chapel Hill employee, do I have to use an Onyen to apply online? If I don’t use my Onyen, does that affect my internal priority?

No, you do not have to use your Onyen. Your applicant status as an internal or external candidate is not determined by the use of the Onyen. Instead, it is determined by checking a box in the online application.

28. What does it mean if my application is "Referred"?

When an applicant applies for a position and has met the State minimum training and experience for the position classification, their application will be submitted to the hiring supervisor for further review. The application is reviewed by the respective Employment, Classification & Compensation Specialist for the position’s department to ensure that the minimum training and experience required by the State has been met by the applicant’s education and work history.

29. What should I do if my application is Not Referred?

Each application is reviewed to determine whether the applicant's education and work history meet the State minimum training and experience requirements for that position. When an applicant applies for a position and the education and work history do not meet the State minimum training and experience requirements for the position, the application will not be referred to the hiring supervisor for review. Applicants may contact the Employment, Classification & Compensation Department at (919) 843-2300 for additional information if their application has not been referred.

30. To whom should I address comments or suggestions regarding the ApplicantWeb system?
