Protocol for Official University Policies on the Web
The University of North Carolina at Chapel Hill provides space on its network for departmental and individual websites, in addition to other University purposes. With requests for websites increasing, a process for verification of important on-line documents is necessary to assure the reliability of documents posted on official University websites and to assure that any policy posted is appropriately codified, adopted by the proper University officials, and current.
To this end, the University provides an official policies and procedures page to which departments, schools, and divisions may link. Additionally, the University has adopted a process for authorization and approval of University-wide policies prior to their on-line posting on this website. Before a University unit can post a University policy on the Universitys official policies and procedures website, the policy must:
1. be reviewed and approved by an attorney in the Office of University Counsel, who will assure that it has been authorized by the appropriate University official(s) (Trustees, Chancellor, Provost, Vice Chancellor for Finance and Administration, etc.); and
2. include a reference to the University employee or unit responsible for updating the policy.
Departments, schools, or divisions may post their own internal policies on their own websites, but if the unit wishes to include University-wide policies, it should do so by means of a link to the official policies and procedures page to assure that the official, most up-to-date version is referenced. That page will be the only one that carries the assurance that the policies posted on it are correct. ITS reserves the right to remove non-official University-wide policies from unit-based websites.
