UNC–Chapel Hill Agreements

UNC–Chapel Hill has current agreements with several vehicle-rental companies for those times when a rental vehicle is required for official University business. These agreements include special benefits such as low mid-week daily rates; no surcharge for extra drivers or drivers 21–25 years old; and, in some cases, full Collision/Loss Damage Waiver and increased liability insurance for the entire rental period at no extra charge.

When a vehicle is needed locally, check with the motor pool first. If the motor pool can't help, the University has rental agreements here in Chapel Hill and at Raleigh–Durham International Airport. These agreements offer special University rates and benefits, which apply only on the published corporate rates and only to rentals using the corporate ID numbers listed in RMS Policy 2, Rental Car Insurance. Business rentals are defined as "those rentals which are reimbursed or made in whole or in part for purposes of the University's official business."

Rates apply for non-University personnel when the University is paying for the rental.

ID cards are available for all travelers. Membership benefits of express rental clubs are being offered to frequent travelers at no charge.

State Contracts

The State of North Carolina also has current contracts with several car rental companies, listed on the North Carolina Division of Purchase and Contract Web site. These contracts are established for business use only. Personal use (or a combination of business and personal rental) has the potential to cause serious insurance, liability, and billing problems. The State-provided insurance does not cover any personal use on a business trip, and travelers will not be reimbursed for purchase of optional insurance. The State rental vehicle liability and physical damage insurance coverage does not extend to operators who are not State employees on University business. Rates are generally higher than UNC–Chapel Hill contract rates and are more subject to change. Provisions for drivers under 25 years are also generally more stringent.
