Subject:  Campus Directory Email Addresses for Faculty and Staff

With the growing use of email as a primary communication tool on our campus and throughout the nation and world, it has become increasingly important to include accurate email addresses in the campus directory for all faculty and staff who have network access. However, recent analysis indicates that up to 40% of our faculty and staff members do not have an email address listed in the campus directory database (the source for both the printed campus directory and the online Web directory).

If your department uses the central campus email service (ISIS) then email address additions and changes are updated automatically as they occur. For this and many other reasons, all campus departments are strongly urged to migrate their employees' email service from their internal servers to the central ISIS email service. However, many departments have their own email servers that do not update the campus directory database automatically; and though it is possible for individuals to update this information directly, few have. Therefore, we have decided that the best way to make the campus directory database accurate is to employ a procedure much like the one used for the yearly name and address update. of the campus directory. So, in February each department's Human Resources Facilitator will be sent a list of their employees' email addresses extracted from the campus directory. with instructions for how to add or change any that are incorrect. Although this list is being sent to HR Facilitators, in some departments the task may be more appropriately assigned by you to other employees. Our goal is to complete all updating by March 1, 2000.

Of course, we encourage FIR facilitators and employees to continue to update the campus directory as necessary. But for greater accuracy, we expect that a yearly mass email address update will be needed and most likely will be done in conjunction with the standard campus directory update.

How to Update Your Campus Directory Address on the Web

1. From the UNC-CH Homepage ( www.unc.edu ), click on the Directories button at the top (under picture, above "Admissions").

2. Click on "UNC-CH Online Campus Directory"

3. Click on "Modify Individual Email Address Listing"

4. Click either Secure Version or Standard Version

You may receive a note about the confidentiality of the secure document. Click                     Continue.

5. On this page you will see the following note:

NOTE: If an email address listing is being modified and it does not belong to you, the knowledge and consent of the email address owner must be obtained first. The system will send an email message to the old and new address

6. Enter Last Name and 9-digit UNC identification number (PID).

7. Click Submit.

8. Enter new Preferred Email address.

9. Click Submit.

You will receive a page showing you that the email address has been changed and that the system has sent an email message to the old and new address,

10. To enter changes for another person, click on "Modify Individual Email Address Listing" at the top of the page and repeat steps 4-9.

11. If you are finished, click Home.
